Every client-facing business encounters the same challenge with contact forms. When visitors land on a site and become interested, they encounter a static box requesting "Name. Email. Message." While some complete it, most don't. Those who do typically provide minimal information—"hi, interested in your services"—leaving the team knowing almost nothing before the first call begins.

This forces twenty minutes of discovery that could have happened beforehand.

The problem

Limitations of Traditional Contact Forms

Traditional forms present three core problems:

Static nature: Forms ask identical questions in fixed order regardless of respondent. A law firm addressing billing issues receives the same fields as a logistics operator troubleshooting CRM-shipping software integration failures.

Friction and passivity: Forms lack responsiveness or demonstrated curiosity. Users submit information and wait. This friction causes uncertain prospects—those unsure whether they need consulting or just better tools—to abandon the process.

What we built

Implementation Details

Location: The AI Assistant appears on Prism's website within five seconds of arrival.

Initial prompt: "Get personalized AI recommendations in just 10 minutes"—a specific value proposition rather than generic assistance.

Opening message: "Hi! I'm here to learn about your business and how AI could help. What brings you to Prism today?"

Structure: Six questions total, with responses determining subsequent questions.

Technology choice: Built on Claude API rather than decision trees because decision trees break the moment someone gives an unexpected answer—and real prospects always give unexpected answers. When a tester typed "operations business needs automation," the system asked logical follow-ups about daily operations and time allocation rather than routing to pre-written responses.

Outcome flow: After questions, visitors provide name and email, receiving confirmation: "We've received your information and will reach out within 24 hours with tailored recommendations." They can also book a 30-minute consultation directly. A complete conversation summary reaches the team before the first call.

The chatbot didn't eliminate human judgment. Every summary receives human review before response. The bot's role is listening; the team decides what to do with collected information.

Replaced elements:

  • Blank contact forms
  • Twenty-minute discovery calls restating website content
  • Back-and-forth emails determining fit before commitment

Result: The first conversation occurs before meeting, allowing subsequent interactions to provide genuine value.
